What data we process
The data you send us with the contact, quote and deposit refund forms (name, email, phone, company, event details and, for the deposit, the bank details for the transfer), the data you give us by WhatsApp, email or phone, and the technical browsing data needed for the site to work (IP address, server logs).
Why we use them and legal basis
- Answering your requests and preparing quotes: steps taken at your request before entering into a contract (art. 6.1.b GDPR).
- Managing the rental or sale, shipping, the deposit and its refund: performance of the contract and compliance with legal obligations, including tax obligations (art. 6.1.b and 6.1.c GDPR).
- Keeping the site secure and preventing abuse: legitimate interest (art. 6.1.f GDPR).
We do not make automated decisions or build profiles with your data, and we do not send you marketing without your consent.
How long we keep them
Enquiries and quotes that do not become a contract: as long as needed to handle them and no more than two years. Customer data: for the duration of the contract and then for the periods required by law.
Recipients
We do not share your data with third parties except where required by law. The following may access it as processors: providers of services we need (web hosting in the European Union, email, shipping and logistics) and the Silentsystem group companies that handle your event, in particular those in Italy (LEM International S.r.l.) and Spain (Silentsystem España S.L.) that ship the equipment. If you use WhatsApp, the conversation is also subject to WhatsApp's terms.
Your rights
You can exercise your rights of access, rectification, erasure, objection, restriction and portability, and withdraw any consent given, by writing to hello@silentsystem.com. You also have the right to lodge a complaint with the data protection authority of your country.
Security
We apply appropriate technical and organisational measures to protect your data against unauthorised access, loss or alteration, including encrypted connections (HTTPS) across the whole site.
Changes
We may update this policy to reflect legal or service changes. The version in force is always the one published on this page. Last update: October 2026.
